Choosing call centre software when you are a small business

The feature lists are written for enterprises. Here is what actually makes software best for a small Kenyan business, when there are four of you and the phone will not stop.

Every call centre platform publishes roughly the same feature list. Predictive dialling, omnichannel, AI sentiment analysis, workforce management. Read three of them and you will struggle to tell them apart.

None of that list is written for a Kenyan business with four people answering the phone. Here is what is.

The five things that actually matter at your size

A queue that rings more than one person. This is the whole point. One mobile phone can only be engaged; a queue holds the caller and rings whoever is free. If a product does nothing else, it must do this.

A record of every call. Who rang, when, who answered, what it was about, what was agreed. Without this you are managing on anecdote, and the anecdote always comes from whoever complains loudest.

A menu you can change yourself. You will edit it four times in the first month. If changing “press 2 for support” needs a support ticket, you have bought the wrong thing.

Numbers you can read. Calls offered, answered, abandoned, and how long people waited. Four figures. Everything else is decoration until you have outgrown them.

Somebody to ring. When a call does not connect at nine on a Monday, you need a person who can look, not a form that promises a response within two business days.

What to ignore for now

Predictive dialling. It is for outbound floors of twenty-plus, dialling constantly. Below that it dials faster than your agents can talk and your customers hear silence.

Omnichannel everything. If your customers reach you on WhatsApp, handle WhatsApp properly where they are. Bolting six channels into one inbox is a project, not a feature.

AI analysis. Sentiment scoring on thirty calls a day tells you nothing you would not learn by listening to three of them.

Workforce management. Rota software for four people is a spreadsheet.

None of these are bad. They are simply answers to problems you do not have, and you will pay for them.

The questions that separate vendors

Ask these five. The answers differ far more than the feature lists do.

What does it cost for exactly the desk I am running? Not “from”. The real number, for four seats, with one number, for a year.

Are incoming calls free? For a support desk most traffic is inbound. Paying per inbound minute changes everything.

Can I start without a meeting? Some vendors require a demo, a proposal and a negotiation before you can see a price. That tells you how the relationship will go.

What happens when I add a fifth person? Immediately and monthly, or a new contract?

Who answers the phone when it breaks, and where are they? A support queue eight hours behind you is a real cost that never appears in a quote.

On price, specifically

Published Kenyan rates for local cloud platforms typically run KSh 3,500 to 7,500 per agent per month. International platforms billed in dollars usually land higher once converted. Older vendors sell a set-up project instead, from around KSh 180,000.

We charge KSh 1,780 a month for three agents — about KSh 593 each — with every feature on every plan and no set-up fee. We publish the whole rate card because a price you have to ask for is a price that varies by how you sound on the phone.

That is our bias, stated plainly. Compare it against anyone.

The honest test

Pick the three things that go wrong today. Perhaps: the line is engaged at lunchtime, nobody knows how many people gave up, and when Mary is out nothing gets answered.

Ask each vendor to show you how their product fixes those three. Not a demo of their favourite features — yours.

A vendor who cannot do that in twenty minutes is selling to a different business.

Where to start

If you are moving off a mobile phone, the article on that move covers the first week. If you are working out headcount, this one does the arithmetic. And the rate card is here if you would rather just see the number.
